Little Flower Catholic School, located in Hollywood, Florida, is seeking a year-round Registrar / Scholarship Liaison. This position is responsible for supporting Little Flower Catholic School by coordinating the admission process for new and current students at the school. Primary duties are coordinating the pre-requisite admissions documents, arranging admissions tests for new students, sending acceptance letters to students, acting as liaison for McKay, Step-Up for Students, and DCF scholarship providers, and ensuring that students’ records are complete and in alignment with requirements of the Archdiocese of Miami. The candidate performs all duties and responsibilities in alignment with the mission, vision and values of the Catholic Archdiocese of Miami.
Responsibilities include:
- Act as liaison on phone and in person, between student/family and McKay, Step-Up for Students, and DCF, resolving problems and escalating issues as needed to principal.
- Request, in writing, school records from applicants for admission (registration form, health records, etc.)
- Coordinate the admission process for new students and re-admission of all other students in school:
- Completed forms required.
- Tests for new students.
- Required documents.
- Letters of acceptance.
- Enter data and keep accurate records for student enrollment for each grade level.
- Schedule and maintain records for all safety drills and inspections as stipulated by city, county and state ordinances/policies.
- Enter data on all transactions into computer.
- Ensure that there is documentation on all transactions for auditing purposes and accurate/current account balances on each fund.
- Receive and process tuition payments from parents. Keep business manager appraising of accounts receivables.
- Communicate effectively with the public, staff members, students, parents, administrators and other contact people using tact and good judgment.
- Maintain confidentiality regarding school/workplace matters, especially financial matters.
- Model and maintain high ethical Catholic standards.
- Demonstrate initiative in the performance of assigned responsibilities.
- Participate successfully in the training programs offered to increase skill and proficiency related to assignment, especially school minder.
- Keep principal informed of potential problems or unusual events.
- Respond to inquiries and concerns, via phone and/or e-mail or mail, in a timely manner and document interaction.
- Build and maintain good working relationships with other team members, exhibiting good interpersonal skills.
- Demonstrate support for the school system and its goals and priorities.
- Demonstrate initiative in identifying potential problems or opportunities for improvement.
- Prepare all required reports and maintain all appropriate records.
- Attend computer training classes and staff meetings.
- Perform other tasks consistent with the goals and objectives of this position.
- Assist with school tasks as assigned with confidentiality and discretion, demonstrating excellent internal and external customer service.
- Other duties as assigned.
Qualifications:
- High school diploma and 5 years’ clerical experience in a customer-service environment required. Non-profit helpful.
- Preferred: Bachelor’s degree in with 1 year of school experience; Experience in a Roman Catholic environment a plus.
- Knowledge of schools’ admissions processes, particularly Catholic schools.
- Ability to maintain confidentiality concerning student files and sensitive information.
- Excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
- Good time management, including ability to manage several projects at the same time.
- Must be able to multi-task and retain accuracy in an environment of competing deadlines.
- Type at least 60 wpm with 90% accuracy.
- Good computer literacy, including ability to navigate online applications and search engines effectively.
- Proficiency in MS Outlook, Word, and Excel.
- Good spelling and grammar are required.
- Good oral and written English-language communication skills, including clear speaking voice.
- Good Haitian Creole-language spoken communication skills strongly preferred; Spanish a plus.
- Must be supportive of the mission and tenets of the Roman Catholic Church.
- Knowledge of basic tenets of Catholic Church.
- Must have a professional demeanor.
