St. Raymond Catholic Parish in Fort Lauderdale, Florida has an immediate opening for a Part-time Parish Secretary / Office Coordinator. This position is responsible for providing office operations and clerical support to the Pastor and others of St. Raymond Catholic Parish. Primary duties are customer service, composing correspondence, sacramental records, and other records; answering requests for information, coordinating calendar events, and coordinating VIRTUS child protection training and fingerprinting compliance for staff and volunteers. This position also coordinates the schedules of receptionists and maintenance personnel, assigning tasks delegated by the pastor. As a member of the St. Raymond Catholic Parish administrative office, this employee assists in other duties of the Office as needed and performs all duties and responsibilities in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami.
Schedule: 20 hours per week: Monday – Friday 9:30 a.m. to 1:30 p.m. Schedule may require flexibility at times depending on events and seasons.
Responsibilities:
- Provide exemplary customer service to visitors, parishioners, CCD parents, vendors and others who contact the parish by phone, in person, and by e-mail; assess their needs and direct them to the appropriate parties.
- Foster a disposition of Christian hospitality and engagement with an open-door mannerism to facilitate the renewal of parish structures and methods.
- Provide callers answers to basic requests for information, events, schedules, and/or document their concerns for escalation to the appropriate party.
- Grant access to visitors and ensure that they come to the front desk to state the intention of their visit. Exercise good judgment in granting access. Contact pastor or security as needed.
- Schedule weddings, baptisms and funerals, with the help of receptionists ensuring communication between families and parish, as well as coordinating the workflow leading to the sacraments/liturgies.
- Manage wedding files and booking of reception hall.
- Assist with St. Martin de Porres Pantry food distribution by ensuring clients receive their packages.
- Oversee child protection program—e.g., Virtus training and fingerprinting compliance. Liaise with archdiocesan Office of Safe Environment.
- Accounts Payable and Accounts Receivables support: Prepare Priest Stipend schedules each month, corresponding with weekly Mass Schedules. Submit to Bookkeeper for payment. Maintain credit card and petty cash receipts folders. Receive correspondence to organize and prepare for the submission for AP/AR to accountant.
- Oversee activities of part-time receptionists and maintenance/custodial personnel checklists of tasks assigned by pastor.
- Learn and remain up to date on ADOM handbook and ADOM HR policies and procedures to be able to answer questions from other employees in areas of time and attendance.
- Serve as custodian of the record for employee personnel folders, maintaining strictest confidentiality in accordance with Archdiocesan HR policies and procedures and applicable laws regarding security. Audit and update records as needed.
- Work in a collaborative effort with the Pastor and pastoral agents in the new evangelization.
- Learn and remain current on office productivity applications (MS Office Suite, etc.) and technology to enhance operational efficiency.
- Other duties as assigned.
Qualifications:
- Minimum high school diploma and five years’ administrative experience in a customer-service environment.
- Post-secondary college or business school education and two years’ experience in a customer-service environment preferred.
- Experience in a Roman Catholic environment; must be supportive of the mission, vision and values of the Catholic Church.
- Knowledge of basic tenets of Catholic Church and parish structures.
- Good oral and written English communication skills, including clear speaking voice, required. Spanish language communications skills a plus.
- Proficiency in email communications and calendar function are required.
- Proficiency in MS Word and MS Publisher. Basic skills with MS Excel.
- Excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
- Skilled at building and maintaining good, collaborative relationships and working through conflicts.
- Good time management, including ability to manage several projects at the same time.
- Must be able to multi-task and retain accuracy in an environment of competing deadlines.
- Must be supportive of the mission and tenets of the Roman Catholic Church.
- Must have a professional demeanor, including the dress code.
- Ability to maintain confidentiality and discretion.
