Assumption Catholic Church, in Lauderdale-by-the-Sea, Florida, is hiring for a part-time Office Assistant. The Parish Office Assistant is responsible for providing office operations and clerical support to the Pastor and staff of Assumption Catholic Church. As a member of the Assumption Catholic Church administrative office, this employee assists in other duties of the Office as needed and performs all duties and responsibilities in alignment with the mission, vision and values of the Catholic Archdiocese of Miami.
Schedule: Monday- Friday, 10 a.m.- 3 p.m.
Responsibilities include:
- Provide exemplary customer service to all visitors both internal and external. Answer phones.
- Take mass intentions and cards.
- Handle mailings including thank you letters. Minister scheduling.
- Process ABCD campaign pledges, payments and follow up.
- Scan and send invoices to bookkeeper for processing.
- Review and approve employee timecards for payroll.
- Handle Parish Soft (envelops, registrations of new parishioners).
- Handle local coordinating of VIRTUS.
- Other duties as assigned.
Qualifications:
- High School diploma or GED and 5 years' administrative experience in a customer-service environment required. Some switchboard experience preferred.
- College or business-school education is preferred, and two years' experience in a customer service environment.
- Must learn and be able to easily navigate the archdiocesan website.
- Excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
- Must have good interpersonal skills and present positive demeanor.
- Able to multi-task and retain accuracy in an environment of fielding simultaneous callers and visitors.
- Good computer literacy, including ability to navigate search engines effectively to locate information for callers.
- Proficiency in MS Word, Outlook, Excel (or other spreadsheet app), and Power Point.
- Good oral and written English-language communication skills, including clear speaking Voice.
- Good Spanish-language oral and written communication skills a plus.
- Must be supportive of the mission and tenets of the Roman Catholic Church; Experience in a Roman Catholic environment strongly preferred.
- Knowledge of basic tenets of Catholic Church, hierarchical structure and entities.
- Must have a professional demeanor.
