Sacramental Coordinator and Religious Education Assistant

St. Thomas the Apostle Catholic Parish in Southwest Miami, Florida is seeking a full-time Sacramental Coordinator and Religious Education Assistant. The Sacramental Coordinator/ Religious Education Assistant supports the parish's sacramental, liturgical, and catechetical ministries through the coordination of baptisms, marriages, and funerals; the maintenance of sacramental records; the preparation of liturgical celebrations; the management of sacristy resources; and assistance with Religious Education programs. The position works closely with clergy, parish staff, families, and the Coordinator of Religious Education to ensure the effective administration of the parish's sacramental and faith formation activities. The candidate performs duties and responsibilities in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami.
Essential Responsibilities include:
Baptism Coordination
- Serve as the primary contact for all baptism inquiries and registrations.
- Process baptism applications and ensure all required documentation is received and complete.
- Obtain necessary signatures and verify compliance with parish and diocesan requirements.
- Maintain accurate sacramental records and baptism files.
- Ensure baptism certificates are prepared correctly and archived appropriately.
- Coordinate and schedule baptism celebrations, including dates, times, celebrants, and family confirmations.
- Organize baptism preparation classes, including scheduling instructors, reserving facilities, managing registrations, and communicating with participants.
- Monitor participation levels and ensure adequate enrollment for scheduled classes.
Funeral Coordination
- Serve as the primary contact for families making funeral arrangements with the parish.
- Coordinate funeral dates, times, and liturgical details with families and funeral homes.
- Gather necessary funeral information, such as biographical information, special requests, and anticipated attendance.
- Assist families in selecting readings and other liturgical elements.
- Coordinate with the sacristy and other parish staff to ensure proper preparation of the church.
- Schedule celebrants, musicians, funeral homes, burial services, wakes, and related events.
- Coordinate funeral logistics with parish staff and ministry leaders as needed.
Marriage Liturgy Coordination
- Assist in the preparation and coordination of wedding liturgies celebrated at the parish.
- Prepare marriage ceremony binders, worship aids, and liturgical materials for clergy, musicians, and participants.
- Prepare and issue sacramental certificates for marriage celebrations.
- Coordinate with clergy, musicians, wedding coordinators, and engaged couples regarding ceremony logistics.
- Coordinate marriage rehearsal schedules with the parish calendar.
- Schedule and lead wedding rehearsals, ensuring all participants understand their roles and responsibilities.
- Prepare and oversee the setup of the church for marriage celebrations, including liturgical furnishings, sacramental registers, and ceremonial items.
- Ensure marriage licenses are received, completed, and returned in accordance with civil requirements.
- Record marriages in parish sacramental registers and databases in accordance with diocesan policies.
- Prepare and transmit notifications of marriage to the baptismal parishes of the bride and groom as required by Canon Law.
- Maintain accurate and confidential marriage records.
General Liturgy
- Prepare weekly liturgical materials and worship folders for Sundays and Holy Days of Obligation.
- Assist in planning and preparing parish liturgies in accordance with liturgical norms.
- Support the preparation of school Masses and special school liturgical celebrations.
- Coordinate altar servers and other liturgical ministers as needed.
- Assist clergy and parish staff with liturgical planning and execution throughout the liturgical year.
Sacristy Management
- Maintain inventory of liturgical supplies and sacramental materials and ensure timely ordering and replenishment of supplies.
- Assist in maintaining an organized and properly equipped sacristy.
- Ensure that liturgical vessels, books, vestments, and other materials are available and prepared for parish celebrations.
Sacramental Records
- Maintain accurate parish sacramental records in accordance with diocesan policies.
- Record baptisms and other sacramental events in parish registers and databases.
- Prepare and issue sacramental certificates and official records as requested.
- Ensure all sacramental documentation is properly archived and readily accessible.
- Maintain confidentiality and accuracy in all parish records.
Religious Education and OCIA Support
- Assist the Coordinator of Religious Education (CRE) throughout the year with administrative and program needs related to the Religious Education, including Children's Faith Formation and the Order of Christian Initiation of Adults (OCIA).
- Prepare, print, and distribute certificates for sacramental and formation programs.
- Assist in the preparation, organization, and distribution of class materials and books.
- Prepare and send notifications to baptismal parishes regarding the reception of sacraments in accordance with diocesan and canonical requirements.
- Support registration, recordkeeping, and communication efforts for Religious Education and OCIA participants.
- Provide administrative assistance for sacramental preparation programs, retreats, and special events as needed.
- Assist with correspondence, mailings, and other clerical duties related to parish catechetical ministries.
Qualifications:
- Practicing Catholic with a strong understanding of Catholic liturgy, sacramental life, and parish ministry preferred.
- Excellent organizational and administrative skills.
- Ability to work compassionately with families during significant life events.
- Ability to manage multiple projects and deadlines simultaneously.
- Ability to work occasional evenings, weekends, and parish events as required.
- Attention to detail and commitment to accuracy, confidentiality, and professional conduct.
- Proficiency with office software, databases, and recordkeeping systems.
- Strong interpersonal and communication abilities.
- Fluency in English and Spanish, both spoken and written required.
- Must have a professional demeanor, including adherence to dress code.
