Religious Education Receptionist/ Administrative Assistant

St. Elizabeth Ann Seton Catholic Church in Coral Springs, Florida is looking for a full-time Religious Education Receptionist/Administrative Assistant who will be responsible for welcoming all who come into the office, telephone the office or sends an email and provides administrative and related office services to the Director of Religious Education and members of the parish community. The candidate performs all duties and responsibilities in alignment with the mission, vision, and values of the Archdiocese of Miami.
Responsibilities include:
- Provide reception services for the religious education office by welcoming and directing visitors, answering the telephone and directing calls appropriately.
- Facilitate clear communication with visitors and callers and provide clear and accurate messages to the Director of Religious Education.
- Record and maintain sacrament records, volunteer records, student attendance.
- Compute, log and distribute peer minister volunteer hours.
- Assist with special events (some evenings) as requested, 1st Communion, practice, large group, etc.
- Register current and new families and enters the information into Faith Formation.
- Operate office machines.
- Setup and maintain classroom supply boxes, catechist mailboxes and catechist requests.
- Maintain video/book resource room and office supply inventory.
- Oversee the timely opening and closing of the office each day. At night, ensure that the copier is stocked with paper.
- Keep lobby and reception area neat and orderly.
- Some financial record-keeping duties.
- All other secretarial tasks that are asked of by Director of Religious Education.
Qualifications:
- High School diploma required; Three (3) years' office experience preferred.
- Friendly with excellent people skills.
- Supportive and respectful of the mission and tenets of the Roman Catholic Church; experience in Roman Catholic environment preferred.
- Professional temperament and appearance.
- Must be able to always maintain strict confidentiality.
- Good oral and written English-language communication skills, including clear speaking voice.
- Must demonstrate a positive, welcoming, and service-oriented disposition.
- Proficiency in Word, Publisher, and Excel.
- Good computer literacy, including the ability to navigate online applications and search engines effectively.
- Good spelling and grammar required.
- Excellent customer service skills, including the ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
- Good time management, including the ability to manage several projects at the same time.
- Must be able to multi-task and retain accuracy in an environment of competing deadlines.
- Must have a professional demeanor and dress accordingly.
