Administrative Assistant / Archdiocese of Miami

The Archdiocese of Miami has an opening for an Administrative Assistant, at the Pastoral Center for the Office of Worship. Primary duties are data entry, filing, correspondence, and follow up on requests regarding Archdiocesan policies, procedures, and programs. This position requires excellent customer service and confidentiality concerning all office matters, ability to prioritize workload and working a limited number of weekends and evenings. Primary Responsibilities:

  • Prepare reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.

General Description:

  • This is a full time, exempt position responsible for leading the effective financial administration, accounting and financial reporting of the parishes.

Director of Religious Education / St. Jude Church

St. Jude Parish is a Catholic Community of God's People of the Diocese of Palm Beach located in Boca Raton, Florida, founded in June, 1979. Director of Youth Ministry /Archdiocese of Miami

As an outcome of our Second General Synod, the Archdiocese of Miami has identified as its top priority the creation of an Archdiocesan Office for Youth and Young Adult Ministry. We are conducting a search for a highly qualified individual to serve as Director of Youth and Young Adult Ministry and take the lead on this initiative. The Director will work to synthesize the elements of the pastoral plan in building a solid office to provide direction and serve as a resource to the parishes and schools of the archdiocese in the formation of our youth and young adults in their Catholic faith.

Primary Responsibilities:

  • Design, develop and implement a training and certification program of leaders in the foundations of effective youth ministry, and provide leadership to assist the pastors in the training of large groups of young adults to serve as missionaries in their parishes.
  • This position will supervise a Coordinator and a part-time administrative assistant.
  • The best candidate is a strong Catholic, passionate about bringing young people to Jesus Christ and forming them as disciples, with the ability to establish a structure to support the strategic plan and build the relationships to maintain it.

Qualifications:

  • Three years’ experience working in a ministerial leadership position at the diocesan level with a successful track record of building and implementing programs with multiple delivery systems.
  • Experienced and skilled in youth and young adult catechesis and promotion of Catholic theology with particular focus on the youth such as Theology of the Body.
  • Skilled in formative and post-training evaluation methodologies.

  • Input and maintain CCD registration data base, which includes family information and registration fee payments, the production of individual folders for new students' records, assigning students to correct class levels, updating of changes in the database with additions and deletions, production of class rosters for teachers and weekly attendance sheets, input attendance data, produce labels for all CCD mailings, and follow-up with parents who have not reregistered or submitted missing documents;
  • General secretarial/receptionist duties in the Religious Ed office, which include receiving all incoming phone calls, visitors to the office, and the sending of Alert Now telephone messages, and reminders/notifications to parents and/or catechists; ;
  • Maintain catechist/religion teacher files for CCD program, including fingerprint reports, the checking of references, attestation forms, and Virtus updates, as well as assisting the DRE in submitting to the archdiocesan Office of Faith Formation all religion in-service and religion based workshop data;
  • In collaboration with the Curator of Records, record all sacramental ministrations, producing certificates for First Communion and Confirmation, and completing the Confirmation registry for the Archdiocese;
  • Special events coordination: First Communions (3), First Confessions (3), seating charts, ordering of ties, veils, and pins, order certificates, program covers, answer parent questions about meetings, retreats, dates, ceremonial details;
  • Other special events: organize the CCD kick-off picnic and sacramental preparation parental meetings; and
  • Coordinate catechist welcome reception and catechist thank you reception at the end of the year.

Schedule: Varying schedule, depending upon the events scheduled on the academic/sacramental/ministerial calendar of events. Certainly 40 hours per week. Includes: Wednesday nights, Saturday mornings. Three additional weeknights and six additional Saturdays that include First Communion, and Confirmation rehearsals, parents and student retreats, and receptions.
